Secure Messaging/E-mail System

  
This document provides information about the Pacific Life Secure E-mail system. The secure e-mail system allows you to send and receive encrypted e-mail by accessing a secure web link. The system is supported in Internet Explorer 6.0 or 7.0 and Firefox version 3.0 or earlier.

Important: Not all of our communications are sent or received through this secure service. Therefore, you should not send any private or confidential communications to us via the Internet other than through this secure service.

E-mail notification

Authorized users receive an e-mail notification that a secure e-mail has been sent to them. The notification contains a "View Message" link to access the message.

Logging on for the first time

After receiving a secure message notification, perform this procedure to log on for the first time:

  1. Click on the "View Message" link.
  2. Enter and confirm a password, then click Submit. Passwords are required to be 8 characters long with one uppercase letter, one lowercase letter and a number. The Secure Web Mail interface appears.

Password reset

To reset your password, follow these steps:

  1. Click the "Forgot Your Password?" link. Your default browser opens and you should see a login page.
  2. Enter your personal e-mail address (case-sensitive) and press Submit.
  3. Enter and confirm your new password. Passwords are required to be 8 characters long with one uppercase letter, one lowercase letter and a number. The Reset button will clear the password entry fields. Click Submit and your Web Mail Client inbox appears.
You will also receive an e-mail notification that you changed your password.

Secure Web Mail interface

The Secure Web Mail user interface is similar to those of other e-mail clients with which you might be familiar. After logging in, you will see a list of all your secure e-mail messages in your Inbox. The Logout and Help buttons are at the top right of the screen, the function tabs are above the message list in the upper half of the screen, and the message preview is displayed at the bottom of the screen.

Button functions

The following table describes the functions of the buttons and links:

Help Opens the online Help.
Refresh Refreshes the list of e-mails for the current user. Note that if more than 25 e-mails have been received, only the first 25 are listed.
Compose Opens a new tab in the browser and allows you to compose and send an e-mail to a recipient.
  • You must know the address of the recipient. There is no address lookup.
  • The message is sent to the server for encryption and processing and is sent to the recipient at the next sending cycle, usually every 15 minutes.
Note: You cannot add, copy, or blind copy additional recipients. But you can change the subject if desired.
Reply Opens a new tab in the browser and allows you to reply to the sender.
Forward Opens a new tab in the browser and allows you to forward the e-mail to a recipient.
Delete Deletes selected e-mail messages from the e-mail list.
Print Prints a selected e-mail message.
Preview A drop-down list specifies the location of the Preview window.
Sort Click a column heading to sort the list by that column's content. Click again to reverse the sort order. Click the down arrow to select a sort order from the list.
E-mail message buttons Help Opens the Online Help.
Note: Use the Help button midway down the page at the upper right of the message pane, not the Help button at the upper left next to the Logout button.
Attachment links Attachment(s) Clicking the link opens the attached file in your preferred application.

Composing new messages

To compose a new e-mail message, follow these steps:

  1. Enter the recipient's e-mail address. Note: You must know the address of the recipient. There is no address lookup.
  2. Enter the subject of the e-mail message.
  3. Enter your message text. You can use the formatting buttons to format your text. Note: You can add an attachment by clicking the Attach button and browsing to the file or e-mail message you want to attach to this message. Attachments may not exceed 10 MB in size. Only one attachment may be made at a time. For multiple attachments, repeat the attachment process in separate messages. To delete an attachment, click the X next to the attachment.
  4. When you have completed your message, click Send. A "Message queued for delivery" message appears. Note: The message is sent to the encryption server for encryption, then is sent to the recipient at the next sending cycle, usually every 15 minutes.
  5. Click OK. Your Inbox appears.

Replying to messages

To reply to a message, follow these steps:

  1. Check the box next to the message to which you want to reply, then click Reply. Note: You cannot add, copy, or blind copy additional recipients. You can change the subject.
  2. Enter your message text. You can use the formatting buttons to format your text. You can also add an attachment by clicking the Attach button and browsing to the file you want to attach to this message.
  3. When you have completed your message, click Send. A confirmation message appears. Note: The message is sent to the encryption server for encryption, then is sent to the recipient at the next sending cycle, usually every 15 minutes.
  4. Click OK. You are returned to the Inbox.

Forwarding messages

To forward a message, follow these steps:

  1. Check the box next to the message you want to forward, then click Forward. Note: If the forwarded message contains an attachment, it will be included.
  2. Enter your message text. You can use the formatting buttons to format your text. You can also add an attachment by clicking the Attach button and browsing to the file you want to attach to this message.
  3. When you have completed your message, click Send. A confirmation popup will appear. Note: The message is sent to the encryption server for encryption, then is sent to the recipient at the next sending cycle, usually every 15 minutes.
  4. Click OK. You are returned to the Inbox.

Timing out

If you are logged on, but allow the Web Mail Client to remain idle, a timeout warning message appears. To reconnect, you must return to the Notification e-mail and click View Message to log on.
